School Policies
These policies describe how St. Mary’s Ruaraka School works with pupils, parents and guardians. They apply to day scholars and boarders unless a section says otherwise. Parents are asked to read them when they enrol a child.
1. Admissions
We welcome applications from families who share our values and want the best for their child.
- Parents or guardians book an interview with the school and complete the admission form.
- Please bring the child’s birth certificate, immunisation card, and the latest school report or transfer letter.
- Places are offered according to available space in the requested class and the child’s readiness for that class.
- A place is confirmed when the admission form is signed and the first payment of [fees / deposit] is received.
2. Code of conduct and discipline
We expect every pupil to treat others with respect, honesty and kindness.
- Pupils arrive on time, wear the correct uniform, and come prepared for lessons.
- Respect for teachers, staff, visitors and each other is expected at all times.
- Discipline is positive and fair. We talk with the pupil first, then involve parents where needed. [Describe any further steps.]
- Corporal punishment is not used. Serious or repeated breaches are discussed with parents and the head teacher.
3. Uniform and appearance
A neat, complete uniform helps every pupil feel part of one school community.
- The full school uniform and PE kit are worn as set out in the school’s uniform list.
- Hair, jewellery and shoes follow the school’s guidelines. [Add specifics.]
- All items should be clearly named.
4. Attendance and punctuality
Regular attendance is one of the strongest supports for a child’s progress.
- Lessons start at [time]. Pupils who arrive late report to the office.
- Parents inform the school of any absence on the same day, by phone or in writing.
- Planned absences during term time are requested in writing in advance.
5. Child protection and safeguarding
The safety and wellbeing of every child is our first responsibility.
- All staff are recruited with appropriate checks and are trained to recognise and report concerns.
- Any concern about a child’s safety is reported to the designated safeguarding lead, [name and role].
- Pupils are collected only by parents, guardians, or adults named in writing by them.
- Visitors sign in at the gate or reception and are escorted where needed.
6. Anti-bullying
Bullying in any form, including online, is not accepted.
- Pupils are encouraged to report bullying to any teacher or to the school office.
- Every report is taken seriously, looked into promptly, and handled with the families involved.
- The school works with pupils who bully, as well as those who are affected, to change behaviour.
7. Health, safety and first aid
We aim to keep our pupils healthy and our grounds safe.
- Parents tell us about allergies, medical conditions and any medicine a child needs.
- Minor injuries are treated at school. In an emergency we contact parents immediately and seek medical help.
- A sick child should stay at home. Pupils with contagious illnesses return only when well.
- Fire and emergency procedures are practised during the year.
8. Boarding
Our boarders are looked after as part of the school family.
- Boarders follow a daily routine that includes meals, prep time, rest, and activities. [Add times.]
- Visiting days and times are set by the school. [Add the schedule.]
- Boarders hand in valuables and electronic devices as required. [Add the rule.]
- Matrons and house staff supervise the dormitories at all times.
9. Use of phones and technology
Technology supports learning when it is used responsibly.
- Mobile phones are not brought to school unless the school has agreed in writing. [Adjust to your rule.]
- School computers and tablets are used for learning and under supervision.
- Pupils must not use any device to harm, embarrass or contact others inappropriately.
10. Fees and payments
Clear and timely payment lets the school plan for every pupil.
- Fee structures are shared with parents before the start of each term. [Link or attach.]
- Fees are payable by [date] each term through [bank / M-Pesa details].
- Parents who have difficulty paying are asked to speak to the school office early so a plan can be agreed.
- Notice of withdrawal is given in writing by [period].
11. Communication and complaints
We want parents to feel able to raise a question or concern at any time.
- Start with the class teacher. If the matter is not resolved, speak to the head teacher.
- Concerns can also be sent to info@stmarysruarakaschool.sc.ke or by phone on 0722 555 713.
- We aim to reply within [number] working days and to resolve concerns fairly.
These policies are reviewed regularly. The school may update them and will tell parents about important changes.
